EXECUTIVE PRODUCERJOB DESCRIPTION
The Executive Producer is the third senior managerial post at HighTide and is responsible to the Artistic Directors.
Responsible for: line-management of all future administrative appointments.
OBJECTIVES
The Executive Producer assists in the realisation of HighTide's programme of work as defined by the Artistic Directors and leads the company's administration across the full range of its activities.
To be responsible for the successful operation of financial, administrative and managerial strategies of HighTide.
Duties include but are not limited to:
PRODUCING
Negotiating contracts for all permanent and temporary staff, including all production staff, and ensuring these contracts are adhered to.
Initiating, planning and booking of performance venues and national and international tours and transfers, contractual, administrative and financial negotiation with venues and co-producers and efficient management of tours.
Administrate casting calls, including when appropriate drawing up casting breakdowns, AV checks, drawing up schedules, liasing with agents.
Agreeing and drawing up annual and project budgets for all company activities and operating within these budgets, monitoring their progress and implementing agreed methods of cost control.
Overseeing HighTide's marketing activities, implementing marketing campaigns for all the company's activities, copywriting, and when appropriate PR work in line with HighTide's external press agency.
FUNDRAISING
Assist in writing sponsorship and funding proposals, including background research.
Writing follow-up letters and reports to funders; statutory, individuals and trusts.
MANAGEMENT
Fielding all administerial queries with external theatre directors, producers and agents.
Supervising the day to day management of the company, particularly in the absence of the Artistic Directors when in rehearsals or engaged on freelance projects.
Managing production budgets and sub budgets.
Co-ordination and negotiation of production contracts, fact sheets, schedules etc.
Supervision of day-to-day bookkeeping, particularly prompt payments of salaries and invoices. Preparation of financial statements within the prescribed time limits and in the formats required by the funding bodies and preparation of accounts for submission to the auditors; exercising budgetary control, ensuring optimum cashflow and liaison with the company's accountant, auditor and bank. Ensuring the appropriate returns are made to organisations such as Inland Revenue, HM Customs and Excise etc.
Health and Safety Officer - with particular concern for the welfare of employees, and for compliance with contracts of employment and all relevant employment legislation.
GENERAL
Ensuring proper administration services are provided to the Board including minutes, agendas and reports.
Attendance at and minuting of Board meetings and presentation to the Board of regular reports, both verbal and written, on the progress of the company.
Representation of HighTide at formal and informal meetings of relevant management associations and other trade organisations.
Managing all matters pertaining to the HighTide office, including negotiation of lease and sub-tenancy, organisation of payments, supervision of repairs and renewals etc.
Managing all IT installation and supervision. Being responsible for the purchase of office supplies.
PERSON SPECIFICATION
Candidates need to possess the following attributes/skills to be considered for the position of Executive Producer:
ESSENTIAL
Minimum of 2 years administrative experience in an arts organisation, preferably theatre related.
Proven numerical competency including preparation and management of production budgets.
Awareness of book keeping, wages control, inland revenue procedures; bank reconciliations; preparation and presentation of management accounts.
Experience of booking and contractual negotiation with venues and creative teams.
Excellent written and oral presentation skills.
Computer literacy, particularly Excel.
The ability to lead a team in a multi task environment.
The ability to self-manage and motivate.
The vision to develop the company and act as an ambassador for HighTide.
DESIRABLE
A knowledge of the Suffolk area; particularly the arts communities.
Income generation: Experience of income generation from all sources including fundraising and tour income.
Experience of creating and implementing marketing campaigns.
A commitment to and passion for new writing.
Knowledge of ITC/Equity contracts and terms and conditions.
Awareness of Health and Safety issues.
TERMS AND CONDITIONS
Salary: Between £18,000 and £21,000 awarded on experience, paid by credit transfer on the 15th of each month. N.B. HighTide currently contracts employees on a self-employed basis, and employees are expected to be registered as self employed and therefore responsible for their own tax and N.I returns.
Holiday: The basic annual holiday entitlement with pay is 20 days per year. In addition authorised public holidays and the period between Christmas and New Year are given as holiday.
Hours: Normal office hours are between 10am and 6pm, Monday to Friday, with one hour for lunch. The nature of the job will require the postholder to work in excess of these hours on occasion and expect some evening and weekend work for which no overtime is payable.
Probation: Six months from the first day of appointment.
Notice period: 2 weeks during probation period, thereafter 12 weeks.
